Home care timesheets and paying an independent professional, without the spreadsheet

Hiring a professional directly means the family becomes the payroll office: tracking hours, checking them, paying on time and keeping records. How to set that up fairly and simply.

Many families hire home care professionals directly rather than through an agency. It can mean more continuity and a closer relationship. It also means the family takes on the office work an agency would do: knowing who worked when, checking the hours, paying on time by a method that suits both sides, and keeping records that hold up when questions come later.

Done informally, with texts about hours and cash on Fridays, it works until it doesn't: a disputed week, a lost note, a question at tax time. This guide covers a fairer, simpler setup. It is general information, not legal or tax advice.

Agree the terms in writing first

  • The rate, and the pay period (weekly, every two weeks).
  • What counts as working time, and how breaks work.
  • Any overtime rule you have agreed or that applies.
  • How the professional wants to be paid, and whether any fee is passed on.
  • What each shift includes, and what must be done before clocking out.
  • Notice on both sides, and what happens to the last invoice.

Track time as it happens

The fairest timesheet is the one nobody has to reconstruct. The professional clocks in when they arrive and out when they leave, with breaks recorded as they happen. Review the day, never withhold pay for worked hours

Families reasonably want the important things done on every shift: vitals logged, the end-of-shift list ticked, a photo of the kitchen left clean. ExpressAgain treats this as a review, never a forfeiture. The family decides which checklist items and logs are required. A day with everything in is complete and released as usual. A day with something missing is held for the family's review, where you approve it with a note or ask the person to complete it, and hours worked are always owed.

From timesheet to invoice to payment

At the end of the pay period, the professional sends an invoice built from their clocked hours with Make my invoice. You approve it in Home Team management, then Pay now shows the professional's chosen method: Zelle, Cash App, direct deposit, a mailed or deposited check, a bank transfer or a wire, with a logged reveal of the account details. Mark paid records how you paid and the reference, and the invoice shows paid on both sides.

Bank details are stored encrypted and shown afterwards only as the last four digits, and every reveal is logged with who and when. The rate is set by the family and shown to the professional, who cannot edit it. Someone staffed by an agency does not invoice you; the agency bills for their hours.

When a shift changes hands

Pay disputes often start with swapped shifts: two people covering for each other, and nobody sure whose hours are whose. Clocking in under each person's own login settles it. The hours belong to whoever clocked them, the timesheet follows, and an open shift someone claims is theirs from the moment they claim it.

Keep records you can hand to a tax professional

Paying someone who works in your home can bring tax obligations, and which ones depend on the working relationship. The IRS explains in Publication 926 that a household employee is someone you hire to do work in your home where you control what work is done and how, and it lists health aides and private nurses among the examples. Its guidance on independent contractors and employees describes how control and the relationship are weighed.
