Setting up your agency step by step

Setup walks an agency through its business first, one page per step: the demo call, a few questions, verification, locations, services and prices, the office, professionals, clients, scheduling, payers, and a test run before you go live. Two bars show how ready you are.

Where it is. Setup is in the left menu of your workspace, right after Panel, for your agency's administrators. Your first visit to the Panel in a session opens it until you're ready to start; after that the Panel shows the two bars and what you still need, and once you're ready, one slim Setup link until everything is done.

The two numbers. Ready to start is the minimum to get going: your demo call booked, your agency verification sent, one location, one service with a price, one professional invited and one client added. Under the bars, To get started you still need lists what is missing, each a link to its page. Setup complete counts every step that applies to your agency.

One step at a time. Each step is its own page, saves as you go, and can be left and picked up later. The step on top is the next one to do; every step checks itself off from what your workspace holds, never from a box you tick. A step that invites people reads After your demo call until the meeting is held.

Step 0, your demo call. It is required: Pick a time opens the calendar, with the day you need to book by. Once booked, the step shows the day and time.

Step 1, welcome. Imported from signup shows what you told us on the form (your type, state, clients, team, who pays, the system you use). Three questions follow: whether you are already serving clients, the kind of care (non-medical home care, skilled home health, or both), and how your clients will come in. The form's answers fill in what they can, marked From your signup, and you can change them. Your answers shape the rest: home health adds a clinical manager and the Medicare number; Medicaid adds the Medicaid ID, EVV and authorizations.

Step 2, agency verification. Who your business is, in sections that open one at a time: the legal name and DBA, the entity type and state, your addresses, the EIN, your state license with its expiry and a copy, the organization NPI and the Medicaid or Medicare numbers your agency needs, the authorized representative, liability insurance with its certificate, and accreditation if any. The EIN is kept sealed: only its last four show, and Show reveals the full number to your organization admin. When nothing is missing, Send for review; the status reads Not sent yet, Sent for review, Verified, Needs attention or Restricted, with our note when there is one. We look your NPI up in the national NPI Registry as part of the review. Thirty days before your license, insurance or accreditation expires, the status turns to Needs attention and your administrator gets one email. Until your agency is verified it is not shown in the Marketplace search; everything else in your workspace works.

Step 3, locations and service areas. Each office or branch is one section: its address and phone, the services licensed there, and the area it serves as ZIP codes, a radius around one ZIP, or counties and towns. An agency with one office starts with that one, filled in from your agency profile.

The steps that open your existing pages. Services and pricing, Office team and roles, Professionals, Clients, Scheduling and visits, and Payers and billing each list the pages that do the work (Team, Payroll export, Patients, a client's Weekly schedule, EVV, Billing, Settings) with a check beside what is already in place. What each role can see is set by ExpressAgain and is the same for every agency: the office never sees the health record. The care plan stays as it is: you can upload the plan you already use, and its sections are filled in by your clinical people. EVV makes the visit files you download and upload yourself; nothing is sent from ExpressAgain.

Step 10, readiness check and go live. A test run of a real day in a client's home: a shift on the weekly schedule, a clock in and out, the shift's note, and an invoice made from it. Each check and every step still open is listed with its page. When all of them pass, it reads You're live.

  5. 5Work down the list: the step on top is always the next one.
