Partly built: part of this depends on a connection or a switch that may not be on for your account yet. The article says which part.
The organization door. ExpressAgain sets your agency up as an organization of the kind home care or home health agency, in preview: three patients and three people from the office unless another number is agreed with you, exactly as a practice starts. Your first person gets an invitation to set a password; afterwards everyone signs in at the IDC Team sign-in with email and password and lands on the organization panel. The banner on the panel says your agency is in preview and ends with Bring your whole agency on ExpressAgain; Book a call opens the agency demo, and Unlock all agency features sends ExpressAgain a request. Everything in Preview and signed organizations applies to an agency word for word.
Enrolling patients. From Patients, or Enroll a patient on the Panel, enroll a patient by the family's email or mobile number. The family gets a message that names your agency and its location only, never the patient, and accepts the link, creating a family account first if they do not have one. From then on that patient is on your panel: last reading, open alerts and unread feed on the row, Feed and alerts across every enrolled patient, and Reports. Invited and enrolled patients both count against the preview's number; archiving a patient who has left opens the place.
What each person sees. Your people are invited from Team with a role and a discipline: a nurse as Nurse (RN / LPN), an aide as Home health aide / CNA / companion, the office as the role Staff. When someone taps Open on a patient they work in the same care-team dashboard a family-invited clinician has, with the tabs their discipline gives them. An aide lands on the Checklist behind Today, with Since your last visit right under it, the clock in the header, and the patient's Day, Menu & Kitchen, Supplies and Eating Out behind the door named after the patient. A nurse lands on Since your last visit, which counts vitals and glucose against the family's targets, doses given and missed, symptoms and flagged alerts, and has Medications, Care targets, the Visit flow sheet and Health Tracking behind About the patient. Every provider login reads the whole shared record; only the action tabs differ. A person invited as Staff with no discipline gets the nurse's tabs when they open a patient, and a provider with no discipline the physician's. Open is there only for a person who holds a place on that patient's coverage: the primary provider, a covering colleague, a coordinator or staff added to it. An administrator sees every enrolled patient on the panel and opens one once they are on its coverage, so decide who at the agency may hold a place on a patient before you invite them.
The per-family office login. Beside the organization, each family can give your office its own login for that home: on the family's Care Team page they generate the Home care agency code, or add your office by name and send the link, and your scheduler joins at the IDC Team sign-in typing the office's role and your agency's name. That login has two doors, Office and My paperwork, and never the clinical record. Team lists the professionals linked to your agency in that home with this period's hours, on shift now, regular slots and today's checklists; Add a staff member (aides and nurses only) sends them a join link, and their login is linked to your agency the moment they join. Open shifts lets the office claim a shift for one of them. Invoices makes one draft per pay period from every linked professional's closed, not yet invoiced shifts at the rate the family set, which the family approves and marks paid. Pay rates and house entry codes stay with the family. The office never receives care alerts and never sees the patient's health record.
One path per person per family. These are two separate logins with two separate places on that family's roster, so a nurse who joins one home through the office's code and also opens that same patient from the organization panel appears twice there. Choose one path per person per family: aides through the office's code, so their hours land on the office's invoice; nurses through the organization, so the panel and Billing support count their time. Alerts are per login and per patient: each patient a person opens has its own Alerts tab (every reading or only flagged ones; instant, a daily digest or off; by text and email), set to every reading until it is changed. A person who opens many patients sets each one, and an administrator who opens patients only to look should turn theirs to daily or off.
Billing support. When ExpressAgain switches on the Billing-ready exports add-on for your agency, the Billing support report opens on each patient's Reports for your people, one month at a time, with CSVs. Time your nurses log with Log time and Log a contact after opening the patient through the organization is counted for your agency's block; an aide's clocked hours are never clinical staff time and show read-only under Home team hours; the office login is left out. The report documents what the month holds and never chooses a code or says what can be billed. Partly: its program checks are written for a physician practice's care management programs, and agency claims, visit reporting and a payer-facing invoice are not built.
What is not built yet. Partly: one roster of your professionals across every client, an agency-wide schedule, agency-owned pay rates, one invoice or timesheet per client from the organization, and one credential file per person across homes are not built; each of those still lives inside one family's account through the office login. Feed and alerts on the panel shows clock-ins, clock-outs and completed checklists as activity lines only for patients your people opened through the organization; shifts, hours and invoices do not appear there.
Step by step
- 1ExpressAgain creates your agency as an organization in preview and invites your first person; they set a password from the email.
- 2On Team, invite your nurses and aides with their discipline, and the office as Staff.
- 3On Patients, enroll each family; they accept the link.
- 4Open a patient from the Panel; each person lands on the tabs for their discipline.
- 5Per family, decide who also joins through the office's Home care agency code for invoicing.
