Add a client. On Patients, Add a client asks for the client's first and last name, the city and state where they live, and who will own the account: the client, a family member, or a representative (legal or chosen). Never your agency. You can add the owner's email or cell now, or later. The client is enrolled at once, your agency sponsors the account, and your office and the professionals you place are set up in the home the same moment, exactly as when a family accepts your invitation (Linking your agency to its client homes). The client takes a place in your preview like any enrollment. When the family is already on ExpressAgain, Enroll a patient still sends them a link to accept instead.
Whose account it is. The account is the client's from the first moment. Until someone claims it, nobody can sign in to it as the owner, and your agency manages it: the weekly schedule, the team, the client's Day, the shift checklist, the medications list and the emergency card. Every change your people make there carries your agency's name, for example Sample Home Care (managing until claimed), in the home's own history.
The claim. Manage on the client's row, then Who will own the account, sends the claim link to the owner's email or cell. The link names no patient and nothing about health, and it is never shown to anyone at your agency. It can never go to, or be claimed with, the address of anyone at your agency or of any login in that home. When the owner claims the account, they choose their own password, they own it, your agency's service is recorded as their consent, and your agency keeps managing until they turn a piece off on their Care team page. Each piece they keep turns your changes into proposals: nothing is written into the home until they accept, and Manage shows each one as waiting, accepted or declined. A family that accepted your invitation starts the same way with only the team managed by you.
Who at your agency does what. Your office and schedulers, and an owner or administrator with no clinical work role, manage the weekly schedule and the team and read the staffing view of the Home Care Team Plan: the weekly coverage, the hours, the team roster and the staffing readiness statements, never a health section. Your clinical people manage the Day, the shift checklist, the medications list and the emergency card, and read the whole plan, on clients whose coverage they are on; a nurse supervisor or clinical administrator does both. A professional you placed works from their own login in the home and does not manage it. Your agency follows the family's rules there: a shift that gives medication only goes to someone allowed to give it, a required credential that is overdue blocks a new shift, and past weeks never change.
Step by step
- 1On Patients, tap Add a client, type the client's name, city and state, and pick who will own the account.
- 2Add the owner's email or cell to send the claim link now, or send it later from Manage.
- 3Tap Manage on the client's row: place your professionals, add weekly shifts, and (clinical people) fill the Day, the checklist, the medications list and the emergency card.
- 4When the owner claims the account, Manage shows Claimed; anything they keep for themselves you propose, and they accept or decline it.
