Points and visit pay

Your agency can pay each professional Hourly, Per visit or Per point: set your visit types and their points, what a point is worth on a weekday and a weekend, and how weekends and holidays count on Visit pay, then see each visit priced on Payroll export.

Who sees it. Visit pay is for your agency's administrators and office, the same people as Payroll export. Open Payroll export and tap Visit pay at the top; it has three tabs, each with its own address: Visit types, Point values, and Weekends and holidays. On a phone the three are listed first and each opens as its own page.

Three pay bases. On Payroll export, open a professional's line and choose the Pay basis: Hourly (hours × the rate, unchanged), Per visit (a set dollar amount for each visit by its visit type) or Per point (each visit type's points × the value of a point that day). Per point is for agencies only; a family never sees points. Every hour is still recorded whichever basis you choose.

Visit types and points. Visit types lists your agency's types: Start of Care, Resumption of Care / Recertification, Revisit, On-call visit and Discharge to start, each with its points blank until you type them. Open a type to rename it, set its points (decimals allowed, such as 2.5), a per-visit amount for professionals paid Per visit, who may work it (the roles; none ticked means anyone), whether it gives medication, the logs that must be logged the same day for the visit to be complete (a dose log, vitals, personal care) and the usual minutes. Add a visit type adds your own. Retire takes a type off the picker; the visits it already had keep their pay, and Bring back returns it. The same list applies in every client home you manage, and a visit takes the type of the shift it was clocked into.

Weekday and weekend point values. Point values shows the values in force today, the next change if one is set, and the change history. Type a weekday and a weekend value in dollars a point and the day they start, and Save; earlier visits keep the value of their own day, the way an hourly rate change works. With no point value set, a per-point visit is not priced and says so.

The weekend. Saturday 12:00 a.m. through Sunday 11:59 p.m. in the home's time zone, by the visit's actual clock-in time; charting later never moves a visit. Friday evening counts as the weekend only when you turn that switch on (the default is off, so Friday is a weekday) and choose the time it starts.

Holidays. The app has no holiday calendar, so a holiday is marked with the Holiday premium under Extra charges on the invoice. Three settings say how a holiday visit is valued, each with its default marked: the holiday window (default: the observed date, 12:00 a.m. to 11:59 p.m.; or the calendar date); a holiday on a weekday (default: the holiday premium on top of the point value that day would get; or the weekend point value with no premium); and a holiday on a weekend (default: the weekend point value plus the holiday premium; or the weekend value alone).

Overriding the points on one visit. On Payroll export, a per-point professional's line lists each visit with its type, weekday or weekend, points and visit pay. Override the points opens two fields: the points for that visit and a reason, which is required. Save the override and the visit is repriced; the line reads Points overridden with the reason in brackets, on your payroll line and on your agency's own invoice line, never on the family's screen or print. Who did it, when, the points and the reason are kept in your audit trail, and the shift carries the same edited-by stamp as any shift edit. A visit already on an invoice cannot be overridden; Back to the visit type's points clears an override.

W-2 regular rate and overtime premium. For a W-2 employee paid per visit or per point, the visit pay already covers the straight time of every hour worked. The regular rate is the week's visit pay divided by every hour recorded that week (visits, charting, travel between patients). The overtime premium is half that regular rate times the hours over 40 in the workweek. The payroll line shows both, and the plain CSV carries Pay basis, Visits, Visit pay, Piece-rate regular rate and Overtime premium. Your payroll computes and pays the premium and any minimum-wage top-up; ExpressAgain shows the figures and is not a payroll service. Check state daily overtime rules in your payroll.

The terms. The payroll line's Terms panel prints the terms that apply by how the professional is marked. A W-2 employee: For nonexempt employees, the visit payment includes compensation for patient care, required documentation, and compensable travel associated with the assignment, except where separate payment is required by law or expressly provided. Employees must record all actual working time, including documentation completed outside the visit and travel between patient locations. Payroll will calculate and pay any additional amounts required for minimum wage and overtime compliance. This payment arrangement does not authorize unrecorded work. A 1099 contractor: The visit fee covers the visit and its documentation unless the agreement says otherwise. Until W-2 or 1099 is set, the panel asks you to set it. The professional sees the same words with their own pay terms.

Step by step

  1. 1Open Payroll export and tap Visit pay.
  2. 2On Visit types, open each type and set its points (and a per-visit amount if you pay anyone Per visit), who may work it and its required logs; tap Save.
  3. 3On Point values, type the weekday and weekend value of a point and the day they start, then tap Save the point values.
  4. 4On Weekends and holidays, leave the defaults or change them, then tap Save the settings.
  5. 5Back on Payroll export, open a professional's line, choose Per visit or Per point under Pay basis and tap Save; their visits, visit pay and terms then show on the line.
