Your W-9, W-4 and I-9 for your agency: fill them in and sign on your phone

On your own Team file, a 1099 contractor fills the W-9 and a W-2 employee fills the W-4 and I-9 Section 1, on the government's own forms, and signs by typing their name.

Where. Sign in to your agency's organization panel, open Team and tap Team file on your own row. The Tax and hiring forms card says how your agency pays you, as a W-2 employee or a 1099 contractor, and lists the forms that go with it: a 1099 contractor fills a W-9; a W-2 employee fills a W-4 and an I-9. An I-9 is never asked of a 1099 contractor. Until your agency's office says which, the card says so and lists nothing.

Fill it in here. Each form opens in place, with the boxes of the official form in the form's own words: the W-9's lines 1 to 7 and Part I, the W-4's Steps 1 to 4 (Steps 2 to 4 sit in a closed section because they apply only to some people), and the I-9's Section 1. Your Social Security number goes into a hidden field, shown as dots while you type. To sign, read the form's own certification above the signature, type your full name, tick I sign this electronically. My typed name is my signature, and tap Sign. The date, the time and your network address are recorded with your signature, as the app does for agreements.

What happens next. The W-9 or W-4 is filled into the IRS's own PDF (the W-9 Rev. March 2024, the 2026 W-4), your name and the date are placed on its signature line, and it is filed in your Team file under Documents at once. You can View the signed form; you can also Fill in a new one later, which replaces it (a new W-4 when your situation changes). Your I-9 Section 1 is recorded when you sign; the agency's office completes Section 2 after it looks at your documents, and the finished I-9 is filed then.

The I-9. Sign Section 1 no later than your first day of work, and not before you accept the job offer; the card shows your first day once the office sets it. Tick one of the four boxes about your citizenship or immigration status and fill in the number the box asks for. The Social Security number is optional on the I-9 unless your agency uses E-Verify. If someone helped you fill it in or translated it, open Someone helped me fill this in (Supplement A): that person types their name and address and signs for themselves. You choose which documents to show the office for Section 2, one from List A or one from List B and one from List C; nobody may tell you which.

Your number stays private. It is stored encrypted, and every screen shows only the last four digits, like •••-••-1234. Only your agency's organization administrators can show the full number, for one minute, and each time is counted on your file. Families never see your tax or hiring forms, and the number is never sent by email or text. You may still file a signed paper copy under Documents instead.
