From an inquiry to a client

A Marketplace inquiry becomes a Client intake record by itself, and every family moves along one path: New inquiry, Conversation, Assessment or consultation, Service agreed, Client onboarding, Active client, or Not proceeding with a reason. Responding, agreeing to provide care, finishing onboarding and starting care are four separate events, each with its own time.

Where inquiries come from. When your agency responds to a care request on the Marketplace, or a family writes to your agency through its listing, a Client intake record is made for that family in your workspace at once, at New inquiry, with the source Marketplace client. It carries the original request (the service, the ZIP, the schedule), the conversation on its timeline (your reply, or the family's message), the responsible agency contact (the person who responded, as the owner), the stage, and the next action with its date (Reply to the family, due today). An office task is made for the reply. One request makes one record, however many messages follow. A family's health words from a request sent straight to your listing are sealed like the phone screening's answers and open only to people with the Intake permission.

The path, on the stages you already have. Client intake keeps its seven pages. The path reads them this way: New inquiry is New inquiry; the Phone screening is the Conversation; Assessment visit is Assessment or consultation; Welcome packet, which carries your service agreement for signature, is Service agreed; In-home intake and Start of care are the two halves of Client onboarding; Care started is Active client; and Lost / not now is Not proceeding, with its reason list. On the pipeline each row shows the path's word next to the stage where the two differ.

Four events, four times. Responded to the family is stamped when your agency answers a Marketplace request. Agreed to provide care is a button on the client's onboarding page; pressing it moves the record to Service agreed when it is earlier. Onboarding completed is a button that opens once the management arrangement is chosen. Care started is the Start of care page's own step, after the client's account exists. Each keeps the first time it happened; one button never completes all four.

Start client onboarding. On a family's intake pages, the slim header offers Start client onboarding (Continue onboarding once it has begun). It opens Bring the client into care, moves the record to Client onboarding, and asks how you will manage this client's care. Nothing is sent to the family and no client place is used by starting onboarding.

Clients. The Clients area lists the clients being onboarded and the established ones, each with where the client came from and how the care is managed, and a Continue onboarding button on the ones in progress. The sources kept for good are Marketplace client, Existing agency client, Referral or direct inquiry and Family invitation; inquiries logged by phone, from your website form or a hospital read as Referral or direct inquiry.

Not proceeding. Lost / not now stays the page for a family that does not go ahead: pick the reason, a follow-up date if you want one, and a note. Sources and conversion counts every source, the four Marketplace and client sources included.

Step by step

  1. 1Respond to a care request on the Marketplace, or wait for a family to write through your listing; open Client intake and find the new record at New inquiry, source Marketplace client.
  2. 2Work the family through the pages as before; the path's word (Conversation, Service agreed) shows on the pipeline.
  3. 3On the family's pages, tap Start client onboarding in the header.
  4. 4On Bring the client into care, tap Agreed to provide care when the family says yes, then choose how the care will be managed.
  5. 5Open Clients to see everyone being onboarded, with Continue onboarding on each.
