Locations and practice groups

An organization holds its locations (its offices) and, if it wants, practice groups in between: organization, practice group, locations. Who each administrator manages, and how to set it up.

An organization on ExpressAgain is the legal entity that signs the agreement and is billed: a medical practice, a health system, a hospice or an agency. Its offices are its locations. Each location has its own providers and patients, its address and phone, and its own escalation window. An organization with one office can have one location, or none, and then the whole organization works as one.

A bigger organization can add a middle level, the practice group: a group of locations that together form one medical practice. For example, the organization Sample Health System has the practice group Sample Medical Associates, with two locations, North office and Main Street office; other locations of the health system can sit in other groups or in no group. Practice groups are optional. An organization without them works exactly as before, and a location belongs to one practice group or to none.

Who manages what. An organization administrator runs the whole organization: every location and practice group, the plan, the chart system, the billing details and the structure itself. A practice group administrator sees every patient of the locations in their group, enrolls patients at those locations, invites and manages the people there, and sets the escalation window for those locations and the group's default. They never see or change another group, and never the organization's own settings. A location administrator does the same for one location. Providers and staff are placed at a location, and their group follows it.

Setting it up is an organization administrator's job, on Settings. Under Practice groups, type a name and Add it. Under Locations, pick each location's practice group from the picker on its row, or No group. Rename a group from its row. A group with no locations deletes straight away; a group that still has locations asks you to confirm first and then moves them to No group, and nobody loses access to a patient. A group that still has a practice group administrator cannot be deleted until that person has another role. ExpressAgain can set up the same locations and groups from its own tools when it creates an organization.

Escalation: each location has its own window in minutes. A practice group can also carry a default window: a location whose own window is empty uses its group's default, and a location with neither does not escalate. On the Panel, Feed and alerts and Reports, an organization administrator can filter by practice group; a practice group administrator's view is their group, with My patients beside it.

  3. 3On Team, invite the group's administrator with the role Practice group administrator and pick the group.
