Connect your calendar: busy times only, never what they are

A professional can connect a Google, Apple iCloud or Outlook calendar by its private iCal address; the times they are busy show as Unavailable on every schedule they work on, and assigning a shift then asks first. Only the times are kept — never an event's name, place, people or notes.

What it is. A professional (independent or placed by an agency) can connect their own calendar so the schedule knows when they are already busy. It is optional, and it is in Getting started as an optional step: Add your calendar or days you can't work. It never holds anything back. There is no sign-in with Google: you paste your calendar's private iCal address, and ExpressAgain reads it about every 30 minutes (and right away when you connect or tap Sync now).

What is kept, and what is not. Only when you are busy: a start, an end, and whether it is a whole day, for the next 60 days. An event's name, place, the people invited and its notes are never kept and never shown to anyone. Events marked Free and cancelled events are left out. Families and agencies you work with see only Unavailable at those times. The address itself is kept sealed and is never shown again after you save it, not even to you; the card shows Connected · Google · last synced 10:42 AM, Sync now and Disconnect. Disconnect deletes the address and every busy time kept.

Getting the address. Google Calendar: on a computer, open Settings, click your calendar under Settings for my calendars, then Integrate calendar, and copy Secret address in iCal format. Apple iCloud: in the Calendar app on your iPhone, tap Calendars, tap the info button next to your calendar, turn on Public Calendar, then Share Link and Copy (anyone with that link could open the calendar, so keep it private). Outlook: in Outlook on the web, open Settings, Calendar, Shared calendars, and under Publish a calendar pick your calendar with Can view when I'm busy, then copy the ICS link. Only these services are accepted: calendar.google.com, iCloud, outlook.office365.com and outlook.live.com. In Google an all-day event counts only when it is set to Busy, because Google sets all-day events to Free.

Where it shows. On the family's Schedule grid, a faint hatched Unavailable 1:00–3:00 PM sits in that person's day; on a phone, one Unavailable line under the day. On an agency office's Calendar, By worker shades the same times as Unavailable. When the family adds a shift, changes one onto someone, or offers one to someone whose calendar is busy then, the app asks first, for example Jewel has something on their calendar 1:00–3:00 PM — assign anyway? Assign anyway saves it, and the override is recorded (who, when and the times, nothing else). Moving a shift on the calendar onto busy time is a warning with Save anyway, also recorded. Busy times are checked only for the next 60 days, the days we know.

Days you can't work. Next to Connect your calendar, Add days you can't work opens the Dates away of My availability: a first day, a last day and a note. Dates away are whole days; your weekly hours are set on the same card. They apply everywhere you work, like the calendar.

Step by step

  1. 1Open My shifts on your dashboard and find My availability.
  2. 2Under From your calendar, tap Connect your calendar, then pick Google, Apple or Outlook and follow its three steps.
  3. 3Paste the private address and tap Connect. The card shows Connected, the calendar and when it last synced.
  4. 4Tap Add days you can't work to add dates away instead of, or as well as, a calendar.
  5. 5To stop, tap Disconnect: the address and every busy time are deleted.
