Open Appointments and tap Put this calendar on your phone (it is on the Schedule too). The page shows a private link to the patient's calendar, Copy, Add to Google Calendar, Add to Apple Calendar, the steps for each, and Regenerate link. Whoever runs the account and the caregiver role see it; a linked family member, a friend, a care login and an agency office never do, and the page says so.
What the link carries: the past 30 days and the next year of the Schedule — the home team's visits with the professional's name and credential (Visit · Amy Chen, PT), the doctor appointments (Appointment · Dr. Sample), family visits from Visit Planning, trips and away days as whole days, and the routine — each with the place when one was typed and the family's own note. Times are the patient's; your calendar shows them on its own clock. A cancelled visit stays in the link marked cancelled, so a calendar that already had it takes it off, and a change replaces the entry rather than adding a second one.
What is never in it: medications and dose days, readings, symptoms, the reason for an appointment, what to bring, what happened, and the names of the family's logins. The link is the calendar, nothing more. Anyone who has the link can read the calendar, so share it only with family who should see it; if it got out, tap Regenerate link: the old one stops working at once on every phone it was added to, and you add the new one again.
Google Calendar: tap Add to Google Calendar; Google opens and asks whether to add the calendar. On a phone, turn the new calendar on in the Google Calendar app's settings. Google refreshes a subscribed calendar every few hours; that is Google's timing, not ours. Apple Calendar: tap Add to Apple Calendar on the iPhone or Mac you want it on and tap Subscribe; set Auto-Refresh to Every hour. Outlook and other calendars: copy the link and paste it under Subscribe from web (or From URL).
One visit at a time: every card on Appointments, and every line under New on the calendar, has Add to my calendar, which saves that visit alone as a calendar file — for anyone on the team, a care login included, without the link.
When a slot is filled: the moment a visit is booked — through the family's booking link, by a clinician's login, or by the family on Appointments or the Schedule — one line goes on the team feed in the tracked things' colour (Amy Chen, PT booked a visit · Wed Oct 14 · 10:00–11:00 AM), Appointments opens with New on the calendar at the top listing it with a New pill until you have looked (the mark is the server's, per person, so a second phone of yours shows it too), the home page carries one line with a tap to Appointments, and whoever runs the account, the caregiver role and the circle's care logins get a phone notification, A visit was booked, with the professional's first name and nothing else, never the person who booked it. A visit moved or cancelled says so the same way. A trip or the routine added to the Schedule says nothing.
Reminders for a professional's visit (the home team's time; the family's own doctor appointments keep their day-before email): the evening before at 6 PM on the patient's clock, A visit tomorrow, and an hour before the start, A visit within the hour — a phone notification to whoever runs the account and the caregiver role, the hour one to the professional the visit is with too, and an email to whoever runs the account with the name, the time and the place. Each goes once. The switch for all of it is Visits booked under What reaches this phone.
