Video interviews: interview a candidate, meet a family

On Interviews in the organization panel an agency sets up video interviews with candidates and confirms video calls that families ask for from its Marketplace profile; both sides get a join link by email, the call runs on Jitsi Meet in the browser, and it is not recorded.

Two kinds of interview. A candidate interview is one your agency sets up with a professional you may hire: a name, an email, a mobile phone if you want them texted, a date and time, and a length (15, 20, 30, 45 or 60 minutes). A family interview is one a family asks for from your public Marketplace profile: the card Meet your agency on video, with the button Ask for a video call, takes their name, email, phone, up to three proposed times and one line about what they want to talk about. The request lands on Interviews under Requested by families, and the family gets a receipt saying you confirm a time by email. The form asks for nothing medical, and nothing medical travels in any of these emails.

The Interviews page. In the organization panel, Interviews (an agency's administrators and office) shows one line, such as 2 upcoming, 1 requested by a family, 4 past, and three chips: Upcoming, Requested by families and Past. Each row reads Video interview with the person's first name and initial, candidate or family, the time and the status (Requested, Scheduled, Done, No show or Cancelled). A row opens to the details, the times the family proposed with a Confirm button beside each, a Date and time field with a length to set or move the time, Join the video room while the room is open, Mark done, No show and Cancel, and a notes box. Your notes are private to your agency and are never sent to the guest. New interview, at the top, opens one small form.

The join link. When a time is confirmed or set, both of you get an email with the time, a button that opens the video room and a link that adds the call to your calendar (an .ics file). Each side has its own link; the link is the only way into the room, there is no sign-in, and it stops working a day after the start. A guest who gave a mobile number also gets a text about an hour before, with their link; the text carries no name or time. The room opens 15 minutes before the start and closes 2 hours after it. Before that, the join page shows the time, who the call is with, a countdown and the calendar file, and it opens on its own at the right moment. If a link has expired or the interview was cancelled, the page says so in one line.

The call. The join page says Allow your camera and microphone when the browser asks. Tap Join the video room and the call opens inside the page on Jitsi Meet (meet.jit.si), a video service that runs in the browser with nothing to install and needs no account. ExpressAgain opens the room with recording and streaming off, no lobby and a short check of your camera and microphone before you enter. Nothing is recorded. Leave ends the call and the page reads Thanks, the interview is over. If the video frame cannot load, the page offers to open the room in a new tab. The room's name is a random code that is never shown and never built from anything you typed.

After the call. Mark done, No show or Cancel keep the list honest; a cancellation of a scheduled interview emails the guest. A done interview stays under Past with your notes. Moving a scheduled interview to another time sends both of you a fresh email with the new time; the same link keeps working.

Step by step

  1. 1In the organization panel, open Interviews and tap New interview.
  2. 2Choose A candidate or A family, type the name and email, add a mobile phone if you want them texted, pick a date, time and length, then tap Save the interview.
  3. 3For a family's request under Requested by families, open the row and tap Confirm beside one of the times they proposed, or pick another time and tap Set the time.
  4. 4Open the email you got, or the row while the room is open, and tap Join the video room; allow the camera and microphone when the browser asks.
  5. 5After the call, tap Mark done (or No show), type what you want to remember in the notes box and tap Save notes.
