1. Run the day. Add a client from your organization panel and start right away; the account is the client's, and the client or a family member claims it. The family's Weekly schedule keeps each regular shift as versions: Change from a date starts new days and times from a date, End this shift ends it without deleting it, and Schedule history lists every change with who, when and why. When someone cannot come, Can't make it puts the shift on Open shifts, and your office can claim it for one of your people; the family can offer a slot to one professional by name with Offer to …. Once the family saves the home, clock in and clock out are checked against the phone's location at the tap and never tracked in between; away from the house, Ask the family to fix my time is the way. Start and end of shift checklists can ask for a photo before an item counts. Team · all clients shows your whole team and their week across every client home that added your office, read-only, with what needs attention.
2. Protect the money. Each professional's license and CPR card show amber within 30 days of expiring and red once expired, and your agency can file the license, CPR card, TB test, training and a skills checklist in its own team file, read in each client home where that professional's login comes through your organization, where the stricter of the family's rule and yours applies. Each new professional has one Getting started checklist; someone staffed through your agency skips tax and pay. Every clocked shift adds up into the pay period's timesheet, and a day held for the family's review is never unpaid. Invoices makes one draft per pay period from your people's closed shifts in that home, with every day of the period listed.
The payer on the invoice. When the family's Billing details name a payer other than private pay (Medicaid, Medicare, a managed care organization, long-term care insurance or another payer), the invoice shows a Payer / authorization block with the member and group numbers from those details, and whoever prepares the draft fills in the authorization number, Authorization from and Authorization to, the approved units and the place of service. Each line shows whether it is payer-funded or private pay, with a subtotal for each, and the family can post what the payer paid or adjusted with Post insurance payment, which comes off the total due. Then the family approves the invoice, Pay now shows your agency's own remittance details, and Mark paid records the method and a reference. Your own agreement can be uploaded as a PDF, its rules listed, signed by your office and countersigned by the family in the app.

Medicaid EVV: for a client whose visits Medicaid pays for, every visit records the six details Medicaid EVV requires, any corrected time becomes an exception with its reason, and your office exports the visits for your state's EVV system from the EVV page (nothing is sent from ExpressAgain). Payroll export: your office picks a pay period and downloads every professional's hours for Gusto, ADP or any payroll, overtime across homes already split. W-9, W-4 and I-9: your people fill and sign the government's own forms on their phones, and your office completes I-9 Section 2.
3. The family and the experience. Each side can add ExpressAgain to the phone's home screen as its own icon: the family's app, EA Care Team for your professionals and the office login in each home (it opens on the care-team dashboard), and EA Organization for your organization panel. In Safari, use the Share button and Add to Home Screen; in Chrome on Android, the menu and Add to Home screen. Phone notifications cover doses due and changes to a regular shift a professional holds, among others.
Where the app reads for you. Start from your own plan: upload a care plan document you wrote (a PDF, a Word file or a photo of each page) on the client's Manage view, and the app reads it and proposes what goes into each section of the Home Care Team Plan, with the document's own lines beside each proposal; nothing changes until a person confirms it, and after the family claims the account each confirmation goes to the family to accept. Snap the bottle: on Prescriptions, or on the Medications tab of the care-team dashboard for a medication found in the home, a photo of the prescription label is read and every field is shown to confirm, with the empty ones marked; nothing saves until the person taps the one button, and the app never checks or suggests a dose. On an agreement, Read the rules from the PDF lists the contract's rules, and each one can be edited or removed before anyone signs. The owl in the corner of the app, on the family's pages, the care-team dashboard and the organization panel, answers how-to questions from the Help Center with links; it never sees the patient's record and reminds people not to type health details. If reading is not set up on a server, the page says so: the uploaded plan is still kept, and a label or a contract's rules can be typed by hand. The Analyze button on Health Tracking is arithmetic on what was logged against the targets, and the daily note is written by fixed rules.
And the family is already in it. The family runs the record in its own app: Sam's Day, the day plan in time blocks with each step ticked off by whoever is on shift; Medications, with a dose-due pop-up that asks whoever is on shift and a log of every dose; Health Tracking against the care team's targets; the Schedule, one calendar for shifts, therapy and appointments, with a booking link your office uses without a login; the team feed, with @ to ask one person; the invoices it approves and pays; Important papers, with who can speak for the patient and the signed copies. Your nurses and aides get the weekly visit email, a count of updates since their last visit and never health details; the office never receives it. The family invites your office with the Home care agency code, or accepts your agency's enrollment. If an agency leaves, the record stays with the family, with 60 days of full access and 30 more while the family looks for the next agency.
